The Front Desk gives quick access to Patient Registration, Waiting Room, Billing, Receipting, Appointment Reminders and Recalls

Find Patient & Recent Patients

Recent Patients


The Recent Patients list provides quick access to facilitate work-flow in busy practices (single click to return to a patient’s record). 

Patient Registration Details


The Patient Registration screen is organised in TAB pages:

  • Personal
  • Address
  • Health Fund
  • Additional
  • Referrals
  • Contacts
  • Family
  • Notes

The minimum requirements are normally name and address, but Specialists normally must also record Referral details.

To enter details for a new patient, click the New Patient icon. The will present the Personal details TAB as shown, with field prompts for the required information.


Not all fields are required, but (obviously) - if you bill Medicare then Medicare details are required. 

Manual Reference Number

This isan OPTIONAL field. The purpose is to cross-reference the patient with any othersystem, or manual medical record system.

Category

Category is optional. You may want to capture this information for analysis.

The categories are maintained in Setup.


Title

Use the drop-down list to select the Title. Use the setup program to add or restrict available titles.

Genderapplicable to the title will be displayed.  Enter if required for non-gender-specific titles.

Preferred name, Full Name Address Name

In thisexample, Last Name, First Names(s) are entered and Title selected.

The additional names are defaulted:

     PreferredName

     Full Name

     AddressName


You should overwrite these defaults as appropriate. This facility assists in the accuracy or your records and correspondence

Australian Government Funded Services

Medicare Online checks can be initiated for:-


  • Medicare Card details
  • Health Care Card details
  • Veteran Affairs details

Patient Verification Check - Medicare (PVM)

Card has expired

Not matched

Not EXACT match

Details are CORRECT

First name of patient has been corrected. This should be confirmed with the patient.

The Last Validation date is set, and the ‘card icon’ is displayed Green to indicate that the record has been successfully validated with Medicare Online.

Concession Entitlement Verification Check (CEV)

Veteran Verification Check (PVV)

Select Billing from the Patient Registration screen.

Find Patient

To selectanother patient (not on the recent Patient’s list) – use the Find Patient facility.

Select or Create Account 

Patient Account

Selectthe Account, and select the default  billing fee level for the patient

List the Accounts 

You can also create a New Account at this point.

New Invoice

When the Patient Account has been selected – the New Invoice button is active.

Click NewInvoice– and the screen is ready for Billing

TheInvoice No. is displayed.

How to Invoice


Quick-Pick Items

Overview 

If youselect an Item that has not been configured with an amount for the default FeeLevel, an Information message is displayed. You can overwrite the Default FeeLevel.

You cancontinue to enter Invoice Item lines (there is no restriction).

Search Find Item List

As analternative to the Quick-Pick Items list, click the Search Find Item Listbutton.

Overview 

Thecomplete list of available Items is listed (refer to Setup).

Selectthe Item Type – then scroll through the available corresponding Items.

Double-clickor press Select

 

Professional Attendance

 

If theItem Type of the selected item is Professional Attendance, then a pop-up screen is displayed toallow the optional entry of the following data items:-

  • No. of Patients Seen
  • Distance in Kms

Number ofPatients seen and the Distance in Kilometers (if the doctor traveled to treatthe patient).

For an Itemto be known as “Professional Attendance”, it should have a setup in the Itemmaintenance The Item Type should be flagged as “Professional Attendance”.

Print Invoice, Pay Invoice, or Completed.

 

You cannow Print the Invoice, Receipt Payment of the invoice, orjust mark it as Completed.

Overview 

Print Preview Mode (Default).

Overview 

 Receipts and other print outs can be customized withyour own logo. Advanced Settings also allow you to redesign the layout and printed fields.

If the entire amount is being paid with one payment, then just select the payment type(capture bank or cheque details where required – and click Save.

TheI invoice has now been receipted. You can print the Invoice/Receipt if required.

 

Manual Distribution

The allocations of receipted amounts in SAAS Medical Practice Management are knownas ‘distributions’.

The Radiology Work-Flow steps through a number of processes prior to admitting the patient to the Waiting Room

The first essential step is to add the Referral.
