All data and documents in SAAS Medical Systems are stored in a secure, encrypted database.

This of course includes Referral and Request Letters

All letters are stored in the database, and there is no archival procedure.

Microsoft Word is NOT required (although there is an option to use Word). Letter are created using the SAAS Medical Systems Report Editor.

The Report Editor uses Templates to auto-fill patient and doctor information. You can modify these templates and create any number of templates.

You also have a facility to store text blocks for re-use. You need only drag and drop these text blocks onto your letter.

How to create a new referral letter

 

Select the patient, then click New Letter

Follow the prompts and enter the required information.

Note that a database record is created. When the letter is composed, it will be added to this database record.

Referral or Request:-                     The default is Referral. Change to Request if appropriate

Modality/Type:-                               Selectthe modality from the drop-down list.

Treating Doctor-                               Select(list doctors at your clinic)

Letter Type:-                                      These are the letter types that have been designed at your clinic.

                                                            Doctors and Practice Managers may design any number of Letter Types.

Create/Modify Letter template can be run at any time.;

Date of Referral:-                   The Date of Referral and the Period of Referral mustbe selected.

Referred Doctor:-            Assumingyour Referring Doctors are all entered …

                                          Select from the list. If the list is large – you can scroll down or search.

When you select the Referring Doctor – a list oflocations/provider numbers is displayed.

If this list is empty (not set up) – just click Exit tocontinue.

If the Referring Doctor only has one location/provider number – then just select it.

Text Inserts


Text Inserts enables you to create your own library of ‘boilerplate’, common text, and bullet lists etc.

Simply Add – then Cut and Paste to Save. Then Drag and Drop any text onto your letter.

Close – Auto saves to the database.

When you have finished writing the letter – we recommend that you ‘Close’ the Report editor. This will automatically save your letter to the database.

 

Previous Referral and Request Letters.

The list of all Referral and Request Letters is displayed by Patient.

Double-Click on any line for details.

Review Referral Letters

When you Double-Click – the Review Referral Letter screen is displayed along with the selected Referral Details and a Preview of the letter.

Open View/Edit Report

 

OpenView/Edit Report retrieves the letter from the database – and displays it withthe SAAS Medical System Report Editor. You can of course, edit this, then justclose it when finished. Your edits will be automatically saved in the database.

Open in Word

Open inWord will open the current document in Microsoft Word (of course, if MS Word isinstalled on your workstation).

SAAS Medical Systems does not require MS Wordto be installed.

Note that we extract and load your documents/letter to MS Word, but this must be regarded as a “Read Only” copy. You can edit/save/print the Word document or use it for any extended workflow to suit your requirements – but there is no facility to automatically update the database with Word updates

The reason is that as MS Word can no longer be embedded within applications – we cannot manage the workflow of a Word Document.

Letter Templates

Note;this can be done while creating a letter- or at any time. Letter templates arenot associated with a patient.

Normally,there will be some templates installed along with the application.

Thesimplest method is to just duplicate an existing template (with a new name) –then modify that template to suit. You can also create a new template by itself.

Example 1: Duplicate(Clone) Existing Template

 

  1. Current Template (SPEC02) is selected.
  2. A Letter Code and Description is entered (SPEC03/Physiotherapist)
  3. Click on Duplicate/Clone

Duplicate/Clonemakes a copy of the existing template (renamed of course) a loads the Template Editor.

Logo / Image

 

To useyour own logo – click Insert -> Images .. (as shown)

Find yourLogo/Image file and click OK …

Note: The RTF Template editor does not provide advanced layout features such as those provided by MS Word – but with some experimentation – you should be able to design an effective template.

Drag andDrop any of the available fields onto the template, and type standard text andlayout as required.

Whenfinished, close the template editor. Your new template will be saved and is available for selection …
